This includes assigning system requests to Warehouse Storekeepers, Junior Storekeepers, and Driver/Porters.

Additionally, the role involves supporting the QDF Warehouse department through system updates, maintaining proper documentation, and ensuring the accurate filing and transmittal of documents.

Job Description

  • Manage all ERP (Enterprise Resource Planning) system requests for the Warehouse department. System requirements include updating of Invoice and delivery details for Goods Receipt, Release transfer order for picking to start in the warehouse and priorities transfers in shipment, all job tasks in warehouse operation are received by ERP system, work as a system administrator assign system tasks to all Warehouse operational team ensuring all requests are managed properly.
  • Responsible to update ERP (Enterprise Resource Planning) system with any and all information required to be updated in order to post receipt of stock and dispatch of stock from the Warehouse. Data includes updating invoice receipt details, transfer request details, QC discrepancies (inward & outward shipments). Monitoring, follow up and respond to Warehouse requests received from Buyers & Retail Operation to prioritise shipments and delivery order, track shipment discrepancies & update shipment status in the system ensuring all required actions are assigned and taken within proper time frame.
  • Raise/release stocks requisitions, transfer orders for Warehouse department, carry out required administration tasks to upkeep the warehouse inventory as per the business requirements.
  • Maintaining and Managing QDFC ERP/ Warehouse Management system timely and accurately, achieve all set objectives for receiving/delivery of all stock to various locations in the business.
  • Uphold close liaison with the retail team and purchasing team for all the stock requisition and delivery process to ensure the inventory level are in line with business needs.
  • Assigning tasks in ‘Warehouse Management System’ for all the Lead storekeepers, Storekeepers, Junior Storekeepers, and Porters etc. on a daily basis to ensure a fair work distribution.
  • Prepare the ‘Daily Productivity Report’ to measure the productivity of all the Warehouse Employees. Post ‘Goods Receipt Note’ in ERP system to update inventory in QDF books and generate the GRN reports.
  • Generating ‘Expire date Report’ on a daily / weekly basis to the concerned purchasing team, and merchandising team to monitor the items which are near expiry. Ship completed Transfer Orders to transfer the stocks to other locations / shops.
  • Post inbound transfer orders after verification from storekeepers to maintain stock on hand accuracy in the warehouse.
  • Formulate and maintain reports on a daily/weekly/monthly basis to support the operations. Some of the reports are Purchase Order Report, Transfer Order Report, Unsupplied items Report, Discrepancies report from the receiving team to the respective purchasing & finance teams, Excess delivery Information Report, Daily Shipment Report, Pending Consignment Report & Pending Registration Report.
